Identify roles, required coverage, operating days, availability, and how historical schedules should be handled. Record which rules are mandatory and which are preferences. Conflicting requirements should produce an explanation for a manager, not a schedule that appears valid while concealing a gap.
02 / The workflowMake changes traceable
Plan for swaps, absences, corrections, and manager overrides from the start. Decide which people receive notifications and how the system marks a schedule as changed. Separate a proposed assignment from an approved one and retain enough history to understand what happened without exposing unnecessary employee information.
03 / The workflowLimit sensitive information and integration assumptions
Only collect employee information that the agreed workflow requires. Restricted details need a separate access and retention design. Payroll or workforce integrations depend on the actual vendor interface and authorization available to the organization; a CSV import and a live connection are different scopes.
