01 / The workflowExplain the appointment before the calendar
Help visitors distinguish session types, duration, pricing structure, participation requirements, and the information needed to request or schedule a session. Use practice-approved language. Make it clear whether the next action creates a confirmed booking or only submits a request for review.
02 / The workflowMap multi-party handoffs explicitly
Document who schedules, who receives notifications, and whether each party has a separate payment obligation. Include cancellation, rescheduling, duplicate notifications, and unsuccessful payment events in the implementation plan. Automation should reduce repetitive coordination without making assumptions about a case or overriding the practice’s decisions.
03 / The workflowTest the workflow, not just the landing page
Exercise the appointment types you actually offer, the notice period, confirmation messages, meeting links, and payment handoffs. Keep secrets on the server and define a manual recovery route when an outside provider is unavailable. A successful payment-link redirect alone is not proof that every participant’s obligation was completed.
